Hale Digital (“Hale”, “we”, “us”) is a performance marketing agency based in London, Ontario. This policy explains how we handle personal information that you share with us through haledigital.com. We keep it short and in plain language. If anything is unclear, email us at hello@haledigital.com.
Who is responsible
Hale Digital, 201 King St., London, Ontario N6A 1C9, is responsible for the personal information described here. Our privacy contact is [To confirm: name and title], reachable at hello@haledigital.com.
What we collect
When you contact us
Our contact form asks for your name and email address, and optionally your phone number, company, company website, your main challenge, the services you are interested in and an approximate monthly marketing budget. We only collect what you choose to type in.
How you found us
When you first visit, the site remembers the page you landed on, the website that sent you (if any) and any campaign tags in the link (for example “utm_source”). This is stored in your own browser and is only sent to us if you submit the contact form, so we know which channels bring us enquiries. You can clear it at any time by clearing your browser’s site data.
Bot protection and hosting
The contact form uses Cloudflare Turnstile to check that a person, not an automated script, is filling it in. Like any website, our host also processes basic technical information such as your IP address and browser type to deliver and protect the site.
What we don’t do
This website does not use advertising cookies, analytics trackers or social-media tracking pixels, and we do not sell personal information.
How we use it
- To reply to you and talk with you about working together.
- To keep a record of enquiries in our internal client records, so the right person on our team can follow up.
- To send you a confirmation email thanking you for getting in touch. That email contains a small image that tells us whether and when it was opened, so we know our reply reached you. You can block this by turning off images in your email program. We don’t add you to a marketing list unless you ask us to.
- To check that an enquiry is genuine. We look up public information about the domain of your email address and website, for example whether it exists, when it was registered and whether it accepts email. If an enquiry looks like phishing, for instance because it uses an address that imitates ours, our system may not send the automatic confirmation email. A person on our team still reviews every enquiry.
- To prepare for a first conversation. An AI tool writes a short internal summary from your enquiry and the public content of your company’s website. It does not receive your name, email address or phone number. The summary is a starting point for our team, not a decision about you.
Who helps us
We use a small number of service providers who handle information on our behalf and only for the purposes above:
- Cloudflare: website hosting, bot protection and the AI summary.
- Google (Google Workspace): our email and the spreadsheet where we keep enquiries.
- Slack: our internal team messaging, where new enquiries are shared with our team.
- Resend: sends the confirmation email.
- Public domain-record services (DNS and registration lookups): receive only the domain name, never your address.
Some of these providers store or process information outside Canada, including in the United States, where it may be accessible to authorities under local law. We may also disclose information if the law requires it.
How long we keep it
[To confirm] We keep enquiries for as long as we need them to respond and follow up. If an enquiry does not lead to working together, we delete it within 24 months of our last contact. Records for clients are kept for the length of the relationship and as required by law.
Keeping it safe
Access to enquiries is limited to Hale team members who need it, through accounts protected by our providers’ security controls, and information is encrypted in transit between your browser, our site and our providers.
Your choices
You can ask to see the personal information we hold about you, ask us to correct it, or withdraw your consent and ask us to delete it. Email hello@haledigital.com and we will respond within 30 days. If you are not satisfied with our answer, you can contact the Office of the Privacy Commissioner of Canada, or, in Quebec, the Commission d’accès à l’information.
Children
This website is meant for businesses and is not directed at children. We do not knowingly collect information from anyone under 16.
Changes to this policy
If we change how we handle personal information, we will update this page and the date at the top.
